Terms of Service

Booking & payment

  • Deposit: 50% of the estimated total, paid via Square invoice, is required to lock your event date.
  • Rush orders (events 21 days or fewer from booking date) are reviewed and approved by us before any deposit invoice is sent. Once approved, payment terms follow the standard schedule.
  • Final balance: due 2 weeks (14 days) before your event, invoiced via Square.
  • Deposit forfeiture: if the final balance is not paid in full by the 14-day mark before your event, the booking is canceled, the date is released, and the deposit is forfeited.
  • Adjustments before deposit:deposit invoices auto-expire 7 days after sending. We’ll follow up.
  • Adjustments after deposit:details (machine count, theme, prize pool, etc.) can be adjusted up until 2 weeks before your event. We’ll trueup the balance at that point.

What we provide

  • Custom claw machine experience as described in your booked package.
  • Setup, operation (or drop-off support), and teardown.
  • Custom interior backdrop design and accent lighting.
  • Prizes — either sourced by us within the agreed budget, pulled from our in-stock inventory, or supplied by you, depending on the option chosen at booking.

Drop-off vs full attendee service

For drop-off bookings: we set up the machine and pack it up at the end of the event. For liability reasons, you (the customer) do not operate the machine yourself. We will return to refill prizes or address issues as needed during the event.

Premium-tier bookings always include full on-site attendance for the duration of the event.

Service area & travel

  • We serve Tampa Bay and anywhere within roughly 2 hours of Tampa: Orlando, Sarasota, Fort Myers, Ocala, Lakeland, and surrounding cities.
  • Events more than 30 miles from Tampa include a flat $150 travel fee, which is waived for any event with 2 or more machines.
  • Outside the 2-hour radius? Contact us — we may still travel for the right event with a custom travel quote.

Cancellations & refunds

  • 48-hour grace period:if you cancel within 48 hours of placing your booking, we’ll issue a 100% refund of your deposit, no questions asked. Email info@plushclawco.com with your booking details and we’ll process it.
  • After 48 hours: our standard policy is no refunds. We begin sourcing custom prizes and inventory specifically for your event soon after booking, and those out-of-pocket purchases can’t be returned to our suppliers. Special circumstances are handled case-by-case — email us and we’ll do our best to accommodate.
  • Rescheduling:we’d much rather move your date than cancel. Reschedules requested more than 30 days before the event transfer your deposit at no penalty. Inside 30 days, we’ll work with you in good faith based on what we’ve already committed for the original date.
  • If we cancel:in the unlikely event we have to cancel (equipment failure, illness, etc.), we will issue a full refund of everything you’ve paid, immediately and without question.
  • Force majeure:in the event of a hurricane, power outage, or other circumstance outside both parties’ control, we will refund the deposit or reschedule at no cost.

Venue requirements

  • A 6′×6′ footprint per machine.
  • One standard 120V outlet within ~25 feet of the setup.
  • For outdoor events: a covered area or tent (the machine and electronics need to stay dry). A quiet generator can be arranged for an additional fee if no outlet is available.
  • If your venue requires a Certificate of Insurance, request it during booking and we’ll provide one before the event.

Liability

Plush Claw Co. carries general liability insurance covering our equipment and operations. We are not responsible for personal injury or property damage caused by guests interacting with the machine in ways outside its intended use, or by venue conditions outside our control.

For drop-off bookings, customers and their guests are not authorized to perform any maintenance, troubleshooting, or physical handling of the machine’s internals; any such attempts release us from liability for resulting damage or injury. We will return on request to handle any service needs.

Photography & content

We may take photos of our setups at your event for our own marketing/portfolio use (social media, website gallery). Photos will not identify your guests by name unless you explicitly grant permission. If you’d prefer we not photograph at your event, just let us know during booking — we’ll respect it.

Changes to these terms

We may update these terms over time. Material changes will be communicated to active customers via email. Your continued use of the service after updates take effect constitutes acceptance.

Governing law

These terms are governed by the laws of the State of Florida. Any disputes will be resolved in the courts of Hillsborough County, Florida.
